Responsibility
Our employees and other individuals or organizations acting on behalf of TEMPORARY NAME are responsible for protecting your personal information. We have established and implemented policies and procedures governing how we handle personal information. Our Privacy Officer oversees our personal information protection program, including policies, dispute resolution, awareness, communication, and reporting to the Management Committee on personal information protection matters.

Purpose
When we collect your personal information, we inform you of the reasons for collecting, using, and disclosing this information. These purposes may include:

  • Verifying identity and protecting the company against fraud or false statements.
  • Ensuring that the information we have about you is accurate and current.
  • Understanding your needs to offer you tailored products and services.
  • Determining your eligibility for products and services.
  • Setting up, administering, and maintaining the products and services you have chosen.
  • Communicating with you about requested products and services or those that may interest you.
  • Addressing any questions or concerns you may have.
  • Conducting analyses using anonymized data to improve or market our products or services.
  • Complying with legal or regulatory requirements.

Consent
When you request or accept a new product or service, we obtain your consent to collect, use, or disclose your personal information for the purposes described above. Consent may be given in writing, verbally, or through an authorized representative. You can withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. However, without your consent, we may not be able to provide you with the products or services you have requested.

Limitation of Collection
We limit the personal information we collect to information that is necessary to achieve the purposes we have indicated. Depending on the product or service, the personal information we collect may include, but is not limited to, the following:

  • Information that identifies a person, such as name, address, telephone number, email address, date of birth, union or employee number, or others. Social Insurance Number (SIN) required to meet Canada Revenue Agency reporting requirements.
  • Financial information such as salary, income, assets, and liabilities, to ensure that the advice or products provided meet your needs.
  • Banking information for benefit or annuity payments.
  • Information about your spouse, dependent children, or other beneficiaries.
  • Information related to health, medical care, or lifestyle, such as the name of the physician, medical history, past or planned trips, which may be required in connection with certain insurance products or other services.
  • Employment-related information, including professional backgrounds, training, professional titles, and references needed for recruitment, career transition, and other HR management services.
  • Marketing preferences if you decide to subscribe to our commercial and promotional communications.
  • Comments you express about our products and services.
  • Information about website visitors, such as IP address, location, browser used, and the use of cookies to enhance your online experience.

We may collect your personal information directly from you or indirectly from other sources such as your employer or union, healthcare providers, or insurance companies.

We may also collect information by monitoring or recording your interactions with us through videoconferencing, chat, or our website or portals.

You may choose not to provide us with certain information, but if you make this decision, we may not be able to provide you with the product, service, or information you requested.

Limitation of Use, Disclosure, and Retention
We limit the use and disclosure of personal information, and we use and retain this information only for the purposes for which it was collected unless you consent to other uses. In addition to providing your information to our employees on a need-to-know basis, we may disclose your information to service providers involved in providing the products or services to which you are entitled, including:

  • Insurers, underwriters, advisors, claims adjudicators, or claims review analysts for the purposes of benefit plans.
  • Healthcare service providers, including virtual care and prescription medication providers, if these services are offered as part of a group plan.
  • Pension funds, mutual funds, investment companies, and depositories for pension and other investment services.
  • Banks and other financial institutions to facilitate payments.
  • HR service providers, including recruitment firms, recruitment platforms, and background check service providers.
  • Technology service providers.
  • Regulatory authorities and other public authorities to comply with legal and regulatory requirements.

We may also provide personal information to another organization if all or part of our business is sold.

We have contractual agreements with service providers and other third parties, whether located in Canada or elsewhere, requiring that any information we provide be protected and used only for the purposes for which it was provided.

We do not retain personal information longer than necessary to achieve the purposes for which it was collected or for other authorized, legitimate, or legal purposes.

Accuracy
We ensure that your personal information is as accurate, complete, and current as necessary for its use. You have the right to challenge the accuracy and completeness of the information we hold about you and have it corrected if necessary.

Security Measures
We have implemented reasonable technical, administrative, contractual, and physical security measures to protect personal information against loss, theft, or unauthorized access, modification, or disclosure. We have security policies and procedures, including the use of passwords and encryption, to protect our systems from intrusion and unauthorized use. Our employees receive training on information security, personal information protection, and the code of conduct. In addition, our service providers are contractually obligated to protect their systems against unauthorized access and to use your personal information only for purposes authorized by us.

Transparency
How we manage and protect your personal information is transparent, and we make our personal information protection policies available. We respond to written requests for information about our personal information management practices.

Individual Access
You can request access to your personal information, and we will respond in accordance with applicable law.

Upon written request, we will provide you with details about your personal information, including the nature of the information we hold about you and how it has been used and disclosed, subject to certain exceptions allowed by law.

You may also request that we amend or delete personal information we hold about you, and we will do our best to respond to these requests, subject to limits imposed by law. Deleting your personal information may also prevent us from providing you with the product or service you requested.

Customer Complaint Handling
Any concerns or complaints regarding the protection of personal information can be sent to our Privacy Officer, whose contact information is provided below. We review all complaints. If a complaint is justified, we take appropriate measures to remedy the situation, including modifying our policies and practices if necessary.
